Opportunity Overview
Postbank is seeking a highly organised and detail-oriented individual to join their team as a Personal Assistant to the Chief Executive Officer. This is a permanent position based at the Head Office in Pretoria, offering a crucial role in supporting the smooth operation of the CEO’s office.
The Personal Assistant will provide comprehensive support to the Chief Executive Officer, taking responsibility for managing schedules, coordinating meetings and travel, handling correspondence, and preparing important documents. This role requires the ability to manage multiple tasks simultaneously within a dynamic and fast-paced environment.
Minimum Requirements
- National Diploma and/or Bachelor’s Degree in Business Administration, Management, or a related field.
- Minimum of 5 years of work experience within the banking sector.
- Minimum of 8 years of proven experience in a similar role providing support at an executive level.
- Experience engaging and coordinating work with various stakeholder groups.
- Experience in providing support to a Board of Directors.
- Capacity to work flexibly and occasionally outside of standard office hours.
Key Responsibilities
- Build and maintain positive relationships with internal and external stakeholders, acting as a liaison for the Chief Executive Officer.
- Provide support for Board of Director meetings, including arranging and servicing meetings, drafting agendas, collating papers and reports, taking minutes, and following up on action points.
- Support the Chief Executive Officer in keeping the Board of Directors informed about the organisation's work.
- Act as the first point of contact for email, written correspondence, and phone calls.
- Proactively manage and coordinate the Chief Executive Officer's diary by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared.
- Maintain effective filing and data storage, including emails.
- Provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters, minuting meetings, and taking messages.
- Plan and manage key organisational events such as Conferences, Strategy days, and Staff briefings.
- Maintain and organise the Chief Executive Officer’s calendars, scheduling meetings, appointments, and conference calls efficiently.
- Arrange travel itineraries, including flights, accommodations, and ground transportation for business trips.
