2. Minimum Requirements

To be considered for this impactful position, applicants must meet the following criteria:

  • Education:
  • A valid Grade 12 Certificate.
  • A National Diploma (NQF Level 6) in Public Administration, Public Management, Business Administration, or Business Management.
  • Experience:
  • A minimum of 2 years of proven experience within an administrative environment.
  • Job-Related Knowledge:
  • Familiarity with Public Service Regulations.
  • Understanding of Financial Procedures and Treasury Regulations.
  • Working knowledge of the Basic Accounting System (BAS).

3. Key Responsibilities

As a Senior Administrative Officer, your core duties will include, but are not limited to:

  • Financial Management Services:
  • Facilitating, planning, overseeing, and driving the timely and accurate preparation of the annual budget in line with PFMA, Treasury Regulations, and strategic priorities.
  • Compiling the Demand Management Plan (DMP), Medium Term Expenditure Framework (MTEF), Adjustment Estimates (AE), and Estimated National Expenditure (ENE).
  • Overseeing the effective, efficient, and economical utilisation of funds.
  • Documenting and communicating procedures for accessing and shifting funds.
  • Coordinating budgeting, auditing, and other financial functions.
  • Verifying Transport and Subsistence, sundry, and overtime payments.
  • Procurement and Supply Chain Administration:
  • Administering the procurement of goods and services.
  • Compiling, managing, and maintaining the Demand Management Plan.
  • Facilitating supply chain management services and monthly, quarterly, and annual reporting on related matters.
  • Ensuring control over the safekeeping, utilisation, and maintenance of all assets.
  • Ensuring proper administration of sourcing and evaluation of quotations.
  • Capturing and authorising goods/services on the Logistical Information System (LOGIS).
  • Handling queries from internal and external clients relating to supply chain matters.
  • General Office Support and Supervision:
  • Supervising, motivating, and developing staff through individual performance agreements.
  • Providing assistance in developing/reviewing operational plans.
  • Compiling various submissions/memoranda and responses.
  • Attending to queries from Internal Audit.
  • Administering leave forms and attending to related queries.
  • Making travel and conference bookings and confirmations.
  • Providing secretariat services, including checking draft minutes for accuracy.
  • Administering assets, maintaining the asset register, liaising with the asset unit during verification, and managing outgoing/ongoing assets and allocation of equipment to officials.
