The South African Health Products Regulatory Authority (SAHPRA) is the national body responsible for monitoring, evaluating, regulating, investigating, inspecting, registering, and controlling medicines, scheduled substances, clinical trials, and medical devices in the public interest.

This opportunity is for a Senior Administration Officer within SAHPRA's Pharmaceutical Evaluation Management (PEM) Unit, based in Pretoria. The role focuses on the crucial administrative management of applications, including their receipt, allocation, and tracking, ensuring the efficient operation of the Business Unit.

Minimum Requirements

  • A Matric or Grade 12 certificate.
  • A three-year National Diploma (NQF Level 6) in Office Management and Technology / Administration / Public Management or a related equivalent qualification. An NQF Level 7 qualification in a related field will be an added advantage.
  • A minimum of 3 years of experience in administration or data management. Experience in a regulatory environment will be an added advantage.
  • Proficiency in Microsoft Office applications, especially Excel and Word.
  • A valid driver’s licence.

Key Responsibilities

  • Manage the receipt and allocation of applications for screening and maintain the associated database.
  • Provide feedback to applicants regarding their application status.
  • Support and implement tasks as assigned by the Manager or Supervisor.
  • Organise various meetings, including those for Committees, Sub-committees/Working Groups, the Business Unit, Peer-Reviews, and other stakeholders.
  • Implement other duties within the Business Unit, such as arranging travel for stakeholders and coordinating training.
  • Update the tracking database for the Business Unit.
  • Capture and collate payments for applications and supporting documents, confirm payments, and submit them to the Finance Unit for revenue recognition.
  • Capture and submit claim forms and invoices to payroll administrators timeously.
  • Manage records within the Business Unit and all Proofs of Evidence (POEs) for performance reporting (Annual Performance Plan, Annual Operating Plan, and Business Plan).
  • Participate in the development, revision, and implementation of Standard Operating Procedures (SOPs) and Guidelines.
  • Support the auditing process in collaboration with the Quality Management Systems and Finance Business Units.
  • Provide support and guidance to other administration officers within the Business Unit.
  • Assist by training and empowering new administrators in the Business Unit.

What the Work Involves

As a Senior Administration Officer, you will be primarily responsible for the administrative backbone of the Pharmaceutical Evaluation Management (PEM) Unit. Your day-to-day work will involve meticulously managing the flow of applications, from initial receipt and allocation to tracking their progress and providing updates to applicants. You will be instrumental in scheduling and coordinating a variety of important meetings involving internal teams and external stakeholders.

The role also includes significant financial administration, such as processing payments, claims, and invoices, and ensuring these are accurately recorded and submitted. You will maintain critical databases and records, contributing directly to the unit's performance reporting. Working on-site in Pretoria, you will report to a Manager or Supervisor, collaborate with colleagues, and play a supportive role in mentoring junior administrators. The environment is office-based, focused on detailed administrative processes and coordination within a regulatory framework.
