  • Coordinating the receipt of order numbers from Supply Chain Management.
  • Evaluating services and goods that have been procured.
  • Coordinating audiovisual and Information Communication Technology (ICT) requirements for meetings.
  • Setting up boardrooms for executive management meetings.
  • Ensuring the safekeeping of recording equipment (laptops, microphones, data projectors).
  • Liaising with Directorate: Facilities Management to ensure the maintenance and cleaning of boardrooms.
  • Providing administrative and secretariat support services to various committees and forums.
  • Coordinating and scheduling top and executive management meetings and workshops.
  • Compiling and distributing comprehensive meeting packs (Agendas, Minutes, discussion documents) to members within agreed timelines.
  • Liaising with internal and external stakeholders regarding meeting arrangements and submissions.
  • Confirming attendance and maintaining accurate attendance registers for high-level meetings.
  • Attending meetings and meticulously recording accurate decisions, action lists, and minutes.
  • Compiling, editing, and submitting first draft minutes for review by senior management before circulation.
  • Following up on the implementation of decisions and actions emanating from meetings.
