Opportunity Overview
The Government Employees Medical Scheme (GEMS) is seeking a dedicated Client Liaison Officer to join its team in Pietermaritzburg. This is a permanent, full-time position offering a vital opportunity to contribute to the well-being of GEMS members.
As a Client Liaison Officer, you will play a crucial role in providing direct support and assistance to Scheme members, resolving administrative issues, and fostering positive relationships between members and GEMS. You will report directly to a Team Leader within the Client Liaison Division.
Minimum Requirements
To be considered for this role, applicants must meet the following criteria:
- Education:
- Matric (Grade 12).
- NQF Level 5 FAIS accredited qualification (as per the FSCA published qualification list).
- RE5 (advantageous).
- Experience:
- At least 2 years of industry experience.
- Medical Scheme Industry experience (advantageous).
- FAIS Compliance:
- Must be willing and able to become a FAIS accredited representative.
- Adherence to Fit and Proper requirements, including honesty, integrity, and good standing according to Board Notice 194 of 2017 (financial soundness, no criminal record, and no previous regulatory or employer disciplinary findings).
- Skills & Attributes:
- A strong passion for customer service.
- Self-motivated and proactive.
- Excellent attention to detail.
- Good written and verbal communication skills.
- Ability to speak one of the following additional languages (in addition to English) will be an advantage: Ndebele, Swati, Zulu, or Nguni.
- Must be a team player.
- Logistics:
- Valid Driver’s License (required).
- Own car (required).
Key Responsibilities
The Client Liaison Officer will be responsible for a range of duties, including:
- Visiting, interacting with, and assisting members in various Government Departments and other public service offices as needed.
- Facilitating meetings and one-on-one sessions to resolve administrative issues encountered by members.
- Receiving Scheme correspondence from members and submitting it to the administrative team daily.
- Following up with members on outstanding information or documents required by the Scheme to finalise business processes.
- Assisting the marketing service provider at marketing events by attending to member queries.
- Striving to resolve all member queries at the first point of contact.
- Logging all resolved and unresolved queries on a daily basis for reporting purposes.
- Compiling daily activity reports.
- Escalating all unresolved queries to the admin team through the Team Leader daily.
- Representing GEMS professionally at all times, aligning with its mission, vision, and values.
- Maintaining positive relationships with Scheme members and stakeholders.
- Facilitating effective communication between members and the Scheme.
- Compiling weekly, monthly, and quarterly activity reports for submission to the Team Leader.
- Providing ad hoc information when requested.
- Utilising extensive Scheme and operational knowledge to assist in resolving member queries.
- Using a computer and required systems effectively to resolve member queries.
- Marketing the Scheme to potential members and assisting them with enrolment.
- Conducting needs analyses for members, providing guidance, and recommending the most suitable benefit options.
- Providing ongoing option advice to members based on their individual needs and goals.
- Ensuring advice records are comprehensively completed, sent to the member and supervisor/Key Individual (KI), and properly stored.
- Adhering to the stipulations of any supervision agreement and the instruction, guidance, and oversight of the FAIS supervisor and KI (if under supervision).
What the Work Involves
As a Client Liaison Officer for GEMS in Pietermaritzburg, your day-to-day work will involve a dynamic mix of field visits and office-based tasks. You will frequently be out in the field, visiting government departments and other public service offices, directly interacting with GEMS members to address their administrative issues and resolve queries. This includes facilitating discussions, following up on necessary documents, and representing GEMS at various marketing events.
When not in the field, you will be based in the office, managing member correspondence, diligently logging all resolved and unresolved queries into GEMS's computer systems, and compiling detailed daily, weekly, and monthly activity reports for your Team Leader. A key aspect of your role involves providing expert advice to members, conducting needs analyses to recommend suitable benefit options, and actively marketing the Scheme to potential new members, all while ensuring meticulous record-keeping for every interaction.
