The Export Credit Insurance Corporation of South Africa (ECIC) is seeking a dedicated Travel Officer to join their team. This permanent position offers the chance to provide essential administrative and logistics support for all travel arrangements within the organisation.

As a Travel Officer, you will play a crucial role in coordinating travel for ECIC Board Members, employees, guests, and anyone else undertaking authorised business travel. This hybrid role (combining remote and in-person work) is based in Centurion, offering an opportunity to contribute to efficient travel operations while also identifying cost-saving initiatives and process improvements.

Minimum Requirements

To be considered for this role, applicants must meet the following criteria:

  • A three-year diploma in Travel, Tourism, or an equivalent relevant qualification.
  • At least two years of proven experience in corporate travel coordination.
  • Strong knowledge of domestic and international reservations processes, including faring, routing, and ticketing procedures.
  • Good working knowledge of Microsoft Office applications.
  • Familiarity with the Public Finance Management Act (PFMA) as it relates to travel and associated matters.
  • Knowledge of MS Dynamics 365.

Key Responsibilities

The successful candidate will be responsible for:

  • Assisting with the daily coordination and administration of travel arrangements, ensuring compliance with ECIC Travel Policy and Treasury Instructions.
  • Processing travel requests and coordinating all aspects of travel, including flight bookings, accommodation, ground transportation, travel itineraries, and visas (where required).
  • Serving as a primary contact for travel-related enquiries and supporting travellers throughout their journey.
  • Liaising effectively with the appointed Travel Management Company (TMC), other travel service providers, and internal stakeholders.
  • Communicating travel bookings and arrangements clearly to travellers.
  • Assisting with the preparation and ongoing monitoring of the annual travel budget.
  • Maintaining travel costs within approved budgets and reviewing invoices for accuracy.
  • Tracking travel expenditure against the budget and ensuring timeous processing of invoices and reconciliation of funds.
  • Safeguarding and reconciling travel petty cash.
  • Managing and responding to customer service issues related to travel across the organisation.
  • Conducting reviews of travel operations and policy to identify and implement process efficiencies.
  • Supporting the Finance Unit by ensuring accurate and timely submission of travel expenses and documentation for processing and reconciliation.
  • Assisting in the development of travel and other business expense procedures.
  • Continuously improving processes and workflows to enhance operational efficiency.

What the Work Involves

As a Travel Officer at ECIC, you will be the go-to person for all travel-related logistics. Your day-to-day work will involve arranging everything from flights and accommodation to ground transport and visas for a diverse group of travellers, including senior management and Board Members. You’ll be the main point of contact for colleagues needing travel assistance, working closely with external travel agencies and internal teams, especially the Finance Unit, to ensure all arrangements are seamless and compliant with financial regulations.

The role requires careful attention to detail as you’ll be managing budgets, reviewing invoices, and reconciling expenses. You’ll operate in a hybrid environment, balancing in-office work in Centurion with remote tasks, and report directly to the Corporate Travel Specialist. This position offers a chance to apply your organisational skills and industry knowledge to ensure smooth and cost-effective travel for a significant public entity.
