This opportunity offers individuals a chance to join the Public Service and contribute to the administrative functions supporting basic education in South Africa. Successful candidates will play a crucial role in managing inventory and supplies.

Minimum Requirements

To be considered for these positions, applicants must meet the following criteria:

  • Possess a Grade 12 certificate.
  • A Degree or Diploma will be considered advantageous.
  • No prior experience is required for this role.
  • Knowledge of basic accounting principles.
  • Knowledge of the Public Finance Management Act (PFMA).
  • Knowledge of Treasury Regulations.
  • Knowledge of applicable Supply Chain Management policies and procedures.
  • Good verbal and written communication skills.
  • Computer literacy, including proficiency in Microsoft Word, Microsoft Excel, Microsoft Outlook, and Microsoft PowerPoint.
  • Good organisational and planning skills.
  • Good problem-solving skills.
  • Good interpersonal and client relations skills.
  • Ability to work effectively as part of a team.
  • Ability to work independently and under pressure.
  • Good administrative and record-keeping skills.

Key Responsibilities

The successful candidate will be responsible for:

  • Receiving goods from service providers and verifying deliveries against purchase orders and other relevant supporting documentation.
  • Ensuring that goods received are aligned with the specifications and quantities reflected in the applicable purchase orders.
  • Ensuring that discrepancies between ordered and delivered goods are identified, recorded, reported, and resolved with the relevant stakeholders.
  • Monitoring stock levels and identifying damaged, obsolete, and slow-moving goods.
  • Conducting regular stock counts and reconciliations and investigating discrepancies.
  • Ensuring that goods are appropriately recorded, labelled, stored, and controlled.

What the Work Involves

As a Senior Administration Clerk, your daily work will primarily revolve around the physical and administrative management of goods and supplies. You will be responsible for receiving deliveries, carefully checking them against official purchase orders and other documents to ensure that quantities and specifications match what was ordered. Should any differences arise, it will be your duty to identify, document, and report these discrepancies, working with relevant parties to find a resolution.

A significant part of the role involves maintaining accurate inventory records. This includes continuously monitoring stock levels, identifying any items that are damaged, outdated, or not moving, and conducting regular stock counts. You will also perform reconciliations to ensure that physical stock matches recorded data and investigate any inconsistencies found. Ensuring that all goods are properly recorded, labelled, and stored correctly in a controlled environment will be a core responsibility, contributing to efficient departmental operations.

What an administration clerk actually does

SetaJobs’ guide to clerical and business administration posts in South Africa, written for someone applying for their first one.

Employers screen on computer literacy, written language and the neatness of your record-keeping. Expect a practical exercise: draft a memorandum, capture a set of entries, or sort a batch of documents into a file plan. In the public service the application itself is the first screen — a fully completed, signed Z83 with the documents listed, submitted by the closing date to the exact address given. Incomplete applications are disqualified without being read.

What you'll need to apply

Send only the Z83 and your CV. Attaching certified copies now is not required, and an incomplete Z83 is the single commonest reason applications are rejected.

What this kind of post involves

A permanent post is ongoing employment with no end date, carrying full benefits and, in the public service, a defined salary level with annual notch progression. These are advertised competitively and the selection process is considerably more formal than for programme placements.

Watch out for this

The screening is mechanical and happens before anyone reads your CV: the advert’s own application instructions are applied as written, and an incomplete or unsigned form is discarded whatever the rest of the application says.
