Opportunity Overview
The South African Special Risk Insurance Association (SASRIA) is inviting applications for a permanent Facilities Consultant position. Based in Johannesburg, Illovo, Gauteng, this role is crucial for maintaining an efficient and safe working environment.
The Facilities Consultant will coordinate various activities related to building maintenance, office management, and the procurement of supplies. This includes overseeing office furniture, stationery, and groceries, as well as optimising office space and allocating staff offices.
A key part of the role involves liaising with contractors for building maintenance and equipment repairs, ensuring all office appliances and facilities-related activities are managed effectively. The Facilities Consultant will also ensure compliance with building regulations like SANS 10400 and the Occupational Health and Safety (OHS) Act, taking responsibility for all security and safety related activities within the facilities.
Minimum Requirements
To be considered for this opportunity, applicants must meet the following criteria:
- Education:
- A Matric certificate or equivalent qualification.
- An NQF Level 6 qualification in Facility Management, Construction Management, or a related field will be an advantage.
- Registration with the South African Council for Project and Construction Management Professions (SACPCMP) will also be an advantage.
- Experience:
- A minimum of 5 years relevant experience in Facilities Management, Contracts Management, or a related field.
Key Responsibilities
The successful Facilities Consultant will be responsible for a range of duties, including:
- Coordinating annual building maintenance schedules and day-to-day building upkeep.
- Managing contractors for building maintenance and repairs, ensuring work meets specifications.
- Assisting with building and infrastructure projects.
- Coordinating the development and performance management of hygiene/cleaning staff, refreshment staff, drivers/handymen, and receptionists.
- Optimising building space to ensure cost efficiency.
- Ensuring adherence to turnaround times for maintenance tasks.
- Ensuring compliance with internal policies, procedures, and the OHS Act, as well as other health, safety, and environmental regulations for all employees, visitors, and contractors.
- Engaging regularly with the landlord and managing monthly invoice payments.
- Maintaining positive relationships with all facilities staff and external contractors.
- Procuring groceries, office cleaning materials, and movable assets (excluding computer equipment).
- Keeping stakeholders informed on the state of facilities and liaising with suppliers and the landlord for required maintenance.
- Facilitating contracts for procuring suppliers and equipment in liaison with the procurement department, including obtaining quotes and negotiating deals.
- Reporting on risk and compliance, and managing all contracts within the Facilities department.
- Communicating with service providers regarding upgrades and cancellations.
- Managing cell phone requests for new staff and recording lost, stolen, or damaged phones.
- Overseeing the procurement and disposal of assets (excluding computer equipment) and maintaining an updated asset register.
- Ensuring all buildings and movable assets are covered under business insurance.
- Maintaining OHS standards and processes, including monthly meetings, monitoring, and inspections.
- Acting as the designated Emergency Controller.
