Safety Cloud is offering an Internship for a SETA Administrator based in Centurion. This opportunity is designed to provide administrative support to the Accreditations Department, focusing on essential functions such as learner record management, document processing, and data capturing.
As an intern, you will contribute to compliance administration and audit preparation activities. This role is ideal for recent graduates and entry-level candidates looking to develop practical knowledge of SETA, QCTO, and quality management requirements within a professional environment.
Minimum Requirements
To be considered for this internship, applicants must meet the following criteria:
- Grade 12 / National Senior Certificate is essential.
- A Certificate, National Diploma, Degree, or equivalent qualification in one of the following fields:
- Business Administration
- Office Administration
- Human Resources
- Business Management
- Public Administration
- Information Management
- Or a related field.
- No prior SETA or accreditation experience is required.
Advantageous skills and experience include:
- Any training or certifications related to Administration, Data Capturing, Record Management, Quality Management Systems (QMS), or Compliance Administration.
- Previous administrative, data capturing, customer service, or office support experience.
- Exposure to a professional office environment gained during studies, internships, learnerships, or workplace experience programmes.
- Experience working with Microsoft Office applications, particularly Excel, Word, and Outlook.
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- Good verbal and written communication skills.
- Ability to capture and maintain accurate records and data.
- Good time management and prioritisation skills.

Key Responsibilities
The successful candidate will be involved in various administrative tasks, including:
- Learner Administration:
- Capturing learner information accurately on internal systems and databases.
- Assisting with the processing of learner registrations, achievements, and completions.
- Verifying learner information and ensuring supporting documentation is complete.
- Maintaining learner files and records in accordance with company procedures.
- Assisting with the distribution of learner statements of results, certificates, and related documentation.
- Ensuring learner information is kept accurate and up to date.
- Documentation and Compliance Support:
- Assisting in compiling and preparing documentation required for audits, verifications, and accreditation activities.
- Maintaining learner Portfolios of Evidence (POEs) and supporting records.
- Tracking submitted documentation and monitoring outstanding items.
- Ensuring all records are filed, archived, and stored in line with company standards.
- Assisting with identifying, recording, and resolving administrative discrepancies.
- Reporting and Record Keeping:
- Maintaining tracking spreadsheets, registers, and databases.
- Updating learner progress and submission records as required.
- Assisting in compiling routine reports for management and stakeholders.
- Monitoring documentation status and providing updates to the Accreditations Manager.
- Communication and Stakeholder Support:
- Responding to administrative queries from learners, clients, and internal stakeholders.
- Following up on outstanding documentation and information requests.
- Providing administrative support to branches and departments regarding accreditation-related processes.
- Communicating professionally and courteously with all stakeholders.
- General Administration:
- Performing general clerical and administrative duties as required.
- Maintaining confidentiality of learner, client, and company information.
- Adhering to company policies, procedures, and quality management requirements.
- Maintaining professional conduct and representing the organisation positively.
- Participating in training and development opportunities to build knowledge of accreditation and compliance processes.
