Minimum Requirements
To be considered for this role, applicants must meet the following criteria:
- Hold a Grade 12 certificate.
- No prior experience is required.
- A Diploma or Degree will be considered an advantage.
- Knowledge of clerical duties and practices, including data capturing, computer operation, and statistics collection.
- Understanding of the legislative framework governing the Public Service.
- Familiarity with working procedures relevant to the government environment.
- Possess strong language skills, good verbal and written communication.
- Demonstrate planning and organisation skills, computer literacy, and interpersonal relations.
- Be flexible and able to work effectively within a team.
Key Responsibilities
The successful candidate will be responsible for a range of administrative duties, including:
- Providing general clerical support services.
- Recording, organising, storing, capturing, and retrieving correspondence and data.
- Updating registers and statistics.
- Handling routine enquiries.
- Making photocopies and managing facsimiles.
- Distributing documents and packages to various stakeholders.
- Maintaining the filing system for the component.
- Typing letters and other correspondence.
- Maintaining the incoming and outgoing document register.
- Providing supply chain clerical support services, including liaising with stakeholders for procurement, obtaining quotations, and completing forms for standard office items.
- Managing stock control for office stationery and maintaining the asset register.
- Offering personnel administration clerical support, such as maintaining leave and attendance registers, and personnel records.
- Arranging travelling and accommodation.
- Providing financial administration support, capturing and updating expenditure, checking subsistence and travel claims, and handling telephone accounts and petty cash.
