Opportunity Overview
The National Department of Forestry, Fisheries and the Environment (DFFE) invites unemployed youth to apply for entry-level Administration Clerk positions. These roles offer an opportunity to gain valuable experience within a government department.

Minimum Requirements
- Must have a Grade 12 / Matric certificate.
- A Diploma or Degree will be an added advantage.
- Relevant experience in administration will be an added advantage.
- Knowledge of administrative procedures, public service prescripts, and procurement policies and procedures.
- Thorough knowledge of financial management and supply chain management procedures.
- Computer literacy.
- Good communication skills (written and spoken) and report writing skills.
- Good interpersonal relations skills, sound organising and planning skills.
- Ability to work long hours voluntarily and plan under pressure.
- Ability to gather and analyse information.
- Ability to adhere to policies, work independently, and work in a team.
Key Responsibilities
- Provide administrative and logistical support to the Directorate.
- Receive and register incoming and outgoing correspondence.
- Liaise with public entities regarding the submission of Strategic Plans, Annual Performance Plans, and Shareholder Compacts.
- Conduct preliminary analysis of draft performance plans against guidelines.
- Arrange monthly and quarterly meetings for the Directorate.
- Assist with drafting minutes of Directorate meetings and follow-up on action lists.
- Send reminders to public entities for the submission of quarterly performance reports and Portfolio Committee presentations.
- Distribute Portfolio Committee presentations and Parliamentary questions to public entities.
- Send correspondence to public entities and follow up on outstanding matters.
- Assist with petty cash requests and procurement of goods and services.
- Distribute documents promptly and confidentially.
- Make travel arrangements for officials.
- Consolidate and facilitate travel claims for the Directorate.
- Maintain and oversee the filing system of the Directorate.
- Assist with the management of finances within the Directorate.
- Procure goods and services using correct procedures.
- Prepare quarterly financial and non-financial performance reports for the Directorate.
What the Work Involves
As an Administration Clerk, you will be based in an office environment in Pretoria, providing crucial support to a Directorate. Your daily tasks will include managing incoming and outgoing correspondence, ensuring documents are registered, distributed, and filed correctly and confidentially.
You will regularly engage with public entities, assisting in the coordination of important documents like Strategic Plans and performance reports, and ensuring deadlines are met. A significant part of your role will involve arranging meetings, assisting with minutes, and following up on action items. You will also handle basic financial administration, such as processing petty cash requests, assisting with procurement, and preparing various reports. This role requires meticulous organisation, attention to detail, and the ability to work collaboratively to support the Directorate's operational needs.
