Opportunity Overview

The Department of Defence, through its CMIS Division in Pretoria, is offering a professional opportunity for an Assistant Director: Archivist. This role is central to managing the organisation's corporate archival records and ensuring compliance with relevant legislation.

The successful candidate will contribute to the preservation and accessibility of critical information, play a part in managing classification systems, and guide staff development in records management practices. This position offers a chance to apply specialized skills within a vital government department.

Minimum Requirements

To be considered for this position, applicants must meet the following criteria:

  • A minimum of Grade 12 (NQF Level 4) and a Diploma (NQF Level 6) in Records and Archive Management, Information Management, or Information Science.
  • A minimum of three (3) years of functional experience in a Records office, Registry, Archive, Information Management, or Information Science environment.
  • Knowledge of the Constitution of the Republic of South Africa, 1996.
  • Knowledge of the Promotion of Access to Information Act (PAIA), 2000 (Act No 2 of 2000).
  • Knowledge of the Defence Act 2002 (Act No. 42 of 2002).
  • Knowledge of the National Archives and Records Service of South Africa Act, 1996 (Act No. 43 of 1996), National Archives Regulations (126 of 24 January 1997), and National Archives instructions.
  • Knowledge of the Public Finance Management Act, 1982 (Act No.84 of 1982).
  • Knowledge of the Electronic Communication and Transaction Act, 2002 (Act No. 25 of 2002).
  • Fair knowledge of record office procedures, and records and archive management procedures, especially regarding the storage and maintenance of records.

Key Responsibilities

The Assistant Director: Archivist will be responsible for a range of duties, including:

  • Managing corporate archival records and conducting research, interpreting, and analysing relevant higher-level legislation.
  • Managing the DOD record Classification systems (DOD File Plan) by maintaining and updating the master copy, both electronic and paper-based.
  • Evaluating records by providing specialist advice and guidance regarding the disposal of records to Service/Division FSEs.
  • Managing subordinates by establishing a formal assessment, training, and development framework for records management staff at all levels.
  • Developing a Competency framework and ETD programme for records management officials by presenting lectures, briefings, and awareness sessions on records management issues.
