Opportunity Overview

The Civilian Secretariat for Police Service is inviting applications for two Executive Personal Assistant positions within the Office of the Deputy Director-General (DDG). These roles are based in Pretoria.

This is a key administrative support position responsible for ensuring the smooth and efficient operation of the DDG’s office, handling a variety of tasks from scheduling to logistical arrangements.

Minimum Requirements

  • An undergraduate qualification (NQF Level 6 as recognised by SAQA) in Public Administration or a related equivalent qualification.
  • Two years’ experience in an administrative, secretarial, or personal assistant environment.
  • Knowledge of information management, office administration, and office management.
  • Familiarity with Supply Chain Management Procedures, the Public Service Legislative and policy framework, applicable departmental policies, and the Public Finance Management Act.
  • Knowledge of virtual meeting platforms, calendar, and scheduling tools.
  • Computer literacy.
  • Strong communication skills, both verbal and written.
  • Ability to write reports and deliver presentations.
  • Skills in project management, planning, and organizing.
  • Analytical ability and capacity to interact effectively with all business units.

Key Responsibilities

  • Provide comprehensive administrative support services.
  • Screen calls, emails, and manage correspondence.
  • Assist in the planning, scheduling, and coordination of internal and external meetings.
  • Draft the meeting calendar for the DDG.
  • Book boardrooms for the DDG’s meetings with stakeholders.
  • Assist with the compilation of quarterly Demand Management Plans and monitor budget expenditure.
  • Offer secretariat support services for the DDG’s meetings and follow up on resolutions and action items.
  • Handle all correspondence within the office of the DDG.
  • Organise and maintain the filing system and confidential records.
  • Provide logistical support services, including travel and accommodation arrangements.
  • Process and submit itineraries, subsistence, and travel claims.
  • Ensure the DDG is fully prepared for all meetings and engagements, including receiving relevant information and briefing documents.
  • Maintain the DDG’s personal file, keeping copies of documents submitted to HRM Unit such as leave forms and performance agreements.
  • Ensure effective and ongoing communication is maintained from the DDG's office to relevant branches and business units.
  • Receive and record documentation before submission to the Branch Coordinator.
  • Meet and greet clients and stakeholders visiting the DDG, and manage the waiting area.
