Capenature, an organisation in the environmental services sector, is offering a permanent opportunity for a Shared Services Officer. This role is based at their Cape Town office in Bridgetown.

The successful candidate will provide essential administrative support across a range of functions, including facilities, general administration, procurement, finance administration, records management, corporate travel, asset administration, and COID administration. This position is key to ensuring that support services are coordinated professionally, comply with policies, and meet the needs of all stakeholders.

Minimum Requirements

  • Grade 12/National Senior Certificate with relevant administrative experience in office administration, shared services, reception, records, travel, procurement, finance, or related support services.
  • At least two years’ experience within a customer or service environment.
  • A valid Code 8 driver’s license.
  • No criminal record.
  • Ability to communicate clearly and appropriately in English, both verbally and in writing.
  • Proficient MS Office skills, including confident and effective use of spreadsheets.

Key Responsibilities

  • Provide professional reception and office administration support, handling enquiries, visitors, and general controls.
  • Support procurement and finance administration tasks, including requisitions, purchase order follow-ups, invoices, and vendor liaison.
  • Coordinate records and registry services, managing document receipt, tracking, filing, storage, distribution, and disposal.
  • Administer corporate travel desk functions, coordinating travel and accommodation requests, bookings, and supplier communication.
  • Coordinate facilities support, maintenance requests, inspections, repair follow-ups, and key control administration.
  • Maintain asset records and support asset verification processes.
  • Administer COID incident reporting and claims, including documentation checks, submissions, and claim monitoring.

What the Work Involves

This role is based in an office environment where you will provide crucial administrative support. Day-to-day tasks will involve managing front desk operations, assisting with finance and procurement administration, and meticulously handling company records from receipt to disposal. You will also coordinate corporate travel arrangements, manage facility maintenance requests, and oversee asset records. A significant part of your responsibilities will include administering COID claims and ensuring compliance with all relevant procedures. The Shared Services Officer reports directly to the Team Leader: Shared Services.
