UP is inviting applications for a motivated Administrative Officer to join the Mastercard Foundation Scholars Program within its Department for Education Innovation. This full-time position is offered on a 3-year renewable contract. The role is vital for providing comprehensive administrative coordination and operational support to the Scholars Program, ensuring the efficient delivery of scholar support services and overall program activities.

Minimum Requirements

To be considered for this position, applicants must meet the following criteria:

  • An NQF Level 6 Diploma in Office Administration, with a focus on areas such as financial administration or office management.
  • Three (3) years of proven work experience in each of the following areas:
  • Office/financial administration
  • Database management
  • Records management
  • Events management
  • Advanced knowledge in information management.
  • Advanced knowledge in event coordination.
  • Advanced knowledge in project/financial management.
  • Appropriate language and communication skills.
  • Computer literacy, including proficiency in MS Word, advanced MS Excel, and experience working in online/cloud environments.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to produce high-quality work under pressure.
  • Excellent interpersonal and conflict management skills.
  • Adaptability and decisiveness.
  • Strong organisational skills.

Key Responsibilities

The successful candidate will undertake a range of duties, including:

  • Developing and maintaining electronic and manual filing systems for the Program, ensuring compliance with UP data governance policies, the Protection of Personal Information Act (POPIA), and the Promotion of Access to Information Act (PAIA).
  • Developing and maintaining shared drives to serve as a repository for Program information and policies.
  • Performing general clerical and administrative tasks to support the maintenance of Program information.
  • Managing the Senior Program Manager’s calendar, appointments, and meeting schedules, as well as those of the Program Manager: Operations when required.
  • Booking venues and arranging all necessary logistics, such as transportation and meals, for both internal (within the Department and University) and external events.
  • Coordinating travel arrangements for Mastercard Foundation Scholars Program staff, including visas, tickets, airport transfers, and accommodation.
  • Assisting and supporting the finance officer with the execution of finance operations.
  • Processing claims for Mastercard Foundation Scholars and UP scholars through the HR system.
  • Ensuring the confidentiality and security of the Scholars Programs’ files and filing system.
  • Building and maintaining relationships with relevant external stakeholders.
  • Assisting in coordinating recruitment, onboarding, orientation, and Scholar support activities.
  • Executing ad hoc tasks delegated by the Mastercard Foundation Scholars Senior Manager and Program Manager to ensure the smooth running of the Program and continuous support to students.
