Opportunity Overview
The South African Bureau of Standards (SABS) is responsible for developing, promoting, and maintaining South African National Standards (SANS). It also promotes quality across various commodities, products, and services, and provides conformity assessment services.
This full-time Administrator: Committee position is based in Pretoria, Gauteng, and involves providing essential administrative support. The successful candidate will work closely with standards writers, SABS committees, and their chairpersons, contributing to the crucial work of standardisation in South Africa.
Minimum Requirements
To be considered for this opportunity, applicants must meet the following criteria:
- Education: A Diploma in Administration, Office Management, Journalism, Records Management, Information Management, or Archives and Records Management (NQF Level 5).
- Experience: 1-2 years of work experience in an Administration or related environment. This experience should involve records management, records administration, document control, compiling and maintaining records, minute-taking, or information management at an operational level.
Key Responsibilities
The Administrator: Committee will be responsible for a range of tasks, including:
- Scheduling and coordinating the annual planning for committee meetings.
- Arranging all logistical requirements for committee meetings and coordinating pre- and post-meetings with chairpersons and standards writers.
- Preparing and circulating agendas and relevant documentation for committees as per established standards processes.
- Preparing accurate minutes and resolutions from meetings within stipulated timelines, clearly indicating all action items.
- Circulating minutes and resolutions to relevant stakeholders within agreed time frames.
- Monitoring and tracking outstanding issues and action items from minutes and resolutions, and advising stakeholders on follow-up actions.
- Registering and maintaining an updated list of stakeholders for committees within their sphere of control.
- Ensuring timely communication with stakeholders regarding meetings, minutes, and other relevant information.
- Uploading new and amended Standards Business Processes (SBPs) after each meeting to the relevant database.
- Loading committee questionnaires onto the system following every meeting.
- Acting as a primary contact and support person for committees, the SAC Secretary, Standards Writers, and Chairpersons.
- Providing assistance with other committee-related documentation pertaining to the development of standards, and circulating all relevant documents to committees.
- Archiving all records pertaining to the committee, including minutes, resolutions, and draft South African standards.
