The RAF is looking for a dedicated Facilities Management Officer to join their Corporate Support team on a permanent basis in Centurion. This role is crucial for implementing all asset management cycles and activities within the organisation.
Minimum Requirements
- Qualifications: Bachelor’s Degree or Advanced Diploma in a Facilities Management related qualification.
- Experience: A minimum of 3 years’ relevant experience in a Facilities Management environment.
- Licence: Valid Driver's License.
- Advantageous: Experience working with SAP systems.
Key Responsibilities
- Provide administrative support for facilities, including liaising with maintenance, conducting building inspections, and managing boardroom bookings.
- Ensure all offices are furnished and equipped according to approved guidelines and maintain required hygiene levels.
- Administer service level agreements with providers, ensuring adherence to contracts and schedules.
- Coordinate the ordering of specified items and monitor their receipt.
- Manage space and parking by coordinating requests, administering reconciliation, and auditing allocations.
- Conduct office churning activities and provide related advice and support.
- Handle accounts payment on SAP by consolidating, quality assuring, and submitting invoices for rent and other facilities services.
- Follow up on outstanding invoices and compare them with agreed contract amounts.
- Create SAP requisitions and track their release.
- Prepare and submit monthly reports on facilities services activities, requisition updates, and identified concerns (e.g., OHS, electrical, plumbing) during site walkabouts.
What the Work Involves
As the Officer: Facilities Management, you will be deeply involved in the day-to-day operations and upkeep of the RAF's facilities in Centurion. This means you’ll be the point person for coordinating repairs, conducting regular building inspections, and ensuring meeting rooms are properly set up for various functions. You will also manage office furnishing and equipment, making sure all workspaces meet established standards, and oversee cleanliness.
A significant part of your role will include administrative tasks related to service providers, from ensuring they meet their contractual obligations to coordinating new orders. You will also handle the crucial task of space management, including managing parking requests, reconciling parking allocations, and advising on office layout adjustments. The role also requires active engagement with financial processes, using SAP to manage and process invoices for various facilities-related services and expenses, ensuring timely payments and accurate record-keeping. Regular reporting on all these activities will keep the Senior Officer informed about the status of facilities services and any potential issues identified.
