NMISA is inviting applications for an Administrator position to support its Applied Metrology (AM) and Physical & Electrical Metrology (PEM) Divisions. Minimum Requirements

  • Qualification: National Diploma (NQF Level 6) in Administration, Office Management, or a related qualification. (NQF Levels 7 and 8 in Administration or a related qualification will be an advantage. Foreign qualifications must include a SAQA evaluation certificate.)
  • Experience: A minimum of 2 years of relevant experience in an administrative, office support, or personal assistant role within a PFMA-regulated or public-entity environment. Experience should cover:
  • Administrative and operational support to management and teams.
  • Use of administrative systems, including MS Office, SharePoint, e-Workflow, and e-Procurement.
  • Meeting and diary coordination, minute-taking, and following up on action items.
  • Document preparation, formatting, and management.
  • Procurement and invoice administration.
  • Records and information management.
  • Coordination of training, workshops, or events.
  • Professional engagement with internal and external stakeholders.
  • Handling confidential and sensitive information.
  • Experience within manufacturing, engineering, or science-based institutions will be an advantage.
  • Skills:
  • Strong computer literacy, including MS Office, SharePoint, e-Workflow, and e-Procurement.
  • Excellent organisational and coordination skills.
  • Excellent written and verbal communication skills in English.
  • Good minute-taking and document preparation skills.
  • Ability to handle sensitive and confidential information with discretion.
  • High level of professionalism and customer focus.
  • Ability to work under pressure and meet deadlines.
  • Strong attention to detail and ability to manage multiple tasks.
  • Good interpersonal and stakeholder engagement skills.

Key Responsibilities

  • Provide general and operational support to Division Directors, senior managers, and staff.
  • Arrange and coordinate meetings, compile minutes, and follow up on action items.
  • Prepare and format documents, presentations, and agendas.
  • Coordinate domestic and international travel arrangements, including visas, bookings, and logistical support.
  • Process procurement orders, follow up on invoices, and liaise with relevant sections on expenditure.
  • Manage records, archiving, and ensure compliance with NMISA’s Total Quality Management System (TQMS).
  • Coordinate training programmes, workshops, and short courses, including scheduling, logistics, communication, and learner record management.
  • Serve as the first point of contact for stakeholders and training-related enquiries.
