Opportunity Overview

The Industrial Development Corporation (IDC) is seeking a dedicated Portfolio Administrator to join their team. This permanent position involves providing crucial administrative support to ensure the department efficiently meets its business objectives.

This role is designed for an individual who can provide effective and efficient administrative services, supporting various stakeholders within a dynamic financial services environment. You will play a key part in the operational success of the portfolio.

Minimum Requirements

  • Qualifications: National Diploma in Commerce or an equivalent qualification.
  • Experience:
  • A minimum of 2-5 years of experience within a Financial Services administrative environment.
  • Understanding and knowledge of the investment process.
  • Experience in Customer Service and Care.
  • Essential experience in the collection of data.
  • Experience and knowledge of the SAP system will be advantageous.
  • Skills:
  • Essential basic Excel skills.
  • The ability to operate effectively in a multi-tasking and demanding environment.

Key Responsibilities

  • Monitor terminal draw dates to ensure timely extensions before expiry.
  • Track undrawn commitments and update SAP with forecasted draws through client consultation and stakeholder validation.
  • Initiate and support disbursement processes, engaging stakeholders to confirm conditions and communicate any gaps.
  • Track and forecast collections (e.g., Capital, Interest, Dividends), using SAP and sending statements to clients.
  • Investigate non-payments, follow up on arrears, and capture payment statuses and allocations on SAP.
  • Issue Letters of Demand (LODs) for overdue payments and apply alternate rates where applicable.
  • Generate and complete settlement documentation, including the release of securities.
  • Ensure IDC securities are registered, documents are loaded on Docupedia, and SAP reflects correct security details.
  • Ensure updated valuation reports on IDC security are done, and request new valuations timeously.
  • Collect Financial Statements (AFS & Management Accounts) accurately and completely, and update SAP monthly.
  • Capture AFS on the risk grading tool and notify relevant parties to finalise the risk grade.
  • Collect and monitor client compliance with undertakings (e.g., budgets, FICA/corporate governance information) and capture them into SAP.
  • Collect jobs information from clients, verify document correctness, and comply with audit requirements.
  • Attend to client requests such as audit confirmations, statements, reconciliations, and cancellations.
  • Follow up on Letters of Amendment (LOAs) and ensure their implementation on SAP.
  • Prepare memos for non-material approvals.
  • Maintain accurate and up-to-date manual and electronic filing systems.
  • Maintain an accurate database of all business partners, including contact details and addresses.
  • Carry out any other ad-hoc activities and administrative duties as required.

What the Work Involves

As a Portfolio Administrator, you will be deeply involved in the day-to-day financial administration of client portfolios. Your work will primarily be office-based, handling critical tasks such as monitoring financial deadlines, tracking investment commitments, and managing the disbursement and collection processes. You will regularly engage with IDC clients, internal segments, and strategic business units to ensure all financial operations run smoothly.

You will be responsible for maintaining accurate records in the SAP system, investigating payment discrepancies, and ensuring all security documentation is correctly registered and up-to-date. This role requires meticulous attention to detail and a proactive approach to managing a demanding workload within a financial services administrative environment.
