Minimum Requirements
To be considered for this opportunity, applicants must meet the following criteria:
- A Bachelor’s degree (NQF 7) in Business Administration, Public Administration, Operations Management, Project Management, or a related field.
- 3-5 years of experience in an Executive or Committee support coordination and administration environment.
- Knowledge of public sector administrative, governance, and compliance processes.
- Understanding of organisational coordination and operational support systems.
- Knowledge of records, document management, and information control practices.
- Understanding of meeting administration, minute-taking, and action tracking processes.
- Knowledge of stakeholder engagement and internal communication processes.
- Computer literacy in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with strong reporting capability.
- A valid Driver’s Licence (Code 8).
Key Responsibilities
The Committee Support Coordinator will be responsible for a range of duties, including:
- Coordinating operational activities within the department and monitoring the implementation of departmental operational plans and action items.
- Tracking deliverables and supporting the achievement of departmental objectives, while facilitating coordination between departments and internal stakeholders.
- Collecting and consolidating operational data from various departments, then preparing accurate operational reports, dashboards, and management summaries.
- Supporting the timely submission of performance and operational reports.
- Providing administrative support, including records and document management, preparing agendas, taking minutes, and tracking meeting actions.
- Maintaining structured electronic and physical filing systems.
- Facilitating the submission of reports and/or documents for consideration by EXCO and for further processing to Board Committees as per stipulated due dates.
- Coordinating communication between departments and internal stakeholders, scheduling and organising meetings, workshops, and operational forums.
- Ensuring follow-up on cross-functional issues and escalations.
- Supporting compliance with PFMA, internal policies, and governance requirements, assisting with audit preparation, and maintaining supporting documentation.
- Ensuring proper recordkeeping for accountability and reporting.
- Assisting with the coordination of internal projects and programmes, tracking project milestones, deliverables, and documentation.
- Supporting project managers with administrative and coordination tasks.
- Providing support to senior management with scheduling and coordination, assisting with presentations, reports, and ad hoc operational tasks.
- Ensuring the smooth execution of daily operational priorities.
