Key Responsibilities
The successful Secretary will be responsible for:
- Providing Secretarial Support Service to the Deputy Chief of Staff (DCOS) of the SANDF.
- Receiving and directing telephone calls appropriately.
- Recording appointments and events in the DCOS's diary.
- Operating office equipment such as fax and photocopying machines.
- Liaising with travel agencies for DCOS travel arrangements.
- Processing travel and subsistence claims for the DCOS.
- Arranging meetings and events for the DCOS.
- Booking venues, inviting role players, organising refreshments, and setting up schedules for meetings and events.
- Processing all invoices emanating from the DCOS's activities.
- Recording basic minutes of DCOS meetings.
- Drafting routine correspondence and reports.
- Establishing and maintaining the filing system in the DCOS's office.
- Administering matters such as the DCOS's leave.
- Handling the procurement of standard office items like stationery and refreshments.
- Collecting all relevant documents to enable the DCOS to prepare for meetings.
- Managing incoming and outgoing correspondence for the DCOS's office.
- Ensuring that documents submitted for DCOS approval adhere to set norms and standards.
- Remaining abreast of procedures and processes within the Department of Defence (DOD) to ensure efficient support.
- Studying relevant Public Service and departmental prescripts/policies to ensure proper application.
