Opportunity Overview

The Banking Sector Education and Training Authority (BANKSETA) is inviting applications for Administrator roles within its Skills and Youth Development Department. BANKSETA is a statutory body focused on advancing the banking and alternative banking industry through skills development, promoting employment equity and broad-based black economic empowerment.

This is an 18-month fixed-term contract position. The successful candidates will play a crucial role in supporting the quality assurance of performance information, managing contracts and invoices, handling write-backs, and assisting with project administration for various discretionary grant programmes.

Minimum Requirements

  • Education: Matric/Grade 12 plus a National Diploma or Degree in administration, project management, business management, public administration, education, or a related field.
  • Experience:
  • Minimum of two (2) years' experience in project administration, learning programme administration, quality assurance, data verification, or performance information management.
  • At least one (1) year of experience in Discretionary Grant administration.
  • Skills:
  • Strong attention to detail and ability to work accurately with large volumes of documentation.
  • Good communication, stakeholder engagement, and follow-up skills.
  • Computer literacy, including proficiency in Microsoft Office applications.
  • Knowledge of discretionary grant programmes, skills development, SETA environments, or audit preparation is an added advantage.

Key Responsibilities

  • Assist in managing performance information by tracking project progress and ensuring timely submission and logging of learner evidence onto the Performance Information Register (PIR).
  • Review and verify received evidence, then coordinate with stakeholders for invoicing.
  • Submit all invoices to the relevant Project Manager for processing.
  • Reconcile project expenditure, identify under-utilised budgets, and facilitate the submission of under-utilisation forms.
  • Raise Project Change Control Notes (PCCN) with supporting evidence for Project Manager processing.
  • Ensure verified learner evidence is saved, properly referenced with PIV numbers, and accessible to Learning Programs Departments.
  • Verify the Business Intelligence (BI) tool against learner evidence for data accuracy and completeness.
  • Comply with all applicable legislation, regulations, policies, and procedures.
  • Identify and mitigate financial risks.
  • Maintain accurate and up-to-date financial records.
  • Ensure all payments for DGFW projects are supported by adequate documentation.
  • Continuously update the Performance Information Register with accurate project statuses.
  • Organise information for audit, compliance, and reporting purposes.
  • Assist with ad-hoc queries.

What the Work Involves

As an Administrator for Learning Intervention Discretionary Grants, you will be based at the Head Office in Centurion, Gauteng. Your daily tasks will involve a significant amount of administrative work focused on the lifecycle of discretionary grant programmes. You will spend time meticulously checking and logging learner evidence, ensuring project progress is tracked, and verifying data accuracy.

A key part of the role involves financial administration, where you will reconcile project expenditures, process invoices, and ensure all payments are properly documented. You will report to the Manager: Youth Development and work closely with Project Managers and various stakeholders to ensure compliance and support the smooth operation of learning programmes. The role requires strong organisational skills and an eye for detail, as you will be responsible for maintaining accurate records and preparing information for audits and reports.
