Opportunity Overview
Sybrin is offering an initial 12-month Accounts Receivable Internship within its Finance division, based in Johannesburg. This development opportunity is designed for individuals who have completed, or are currently completing, a relevant finance or accounting qualification, and may have some entry-level experience in finance or Accounts Receivable.
The intern will provide essential support across various finance functions, including customer payment allocations, invoicing administration, collections, managing debtor follow-ups, and customer information management. Working closely with the Finance team, you will gain practical exposure to critical areas such as debtor management, cash flow processes, financial systems, internal controls, and overall customer account administration.
Minimum Requirements
- Completed or currently completing a Certificate, Diploma, or Degree in Accounting, Finance, Financial Management, or a related field.
- Beneficial Exposure:
- Cross-border transactions, particularly within Africa, multi-currency environments, and Withholding Tax.
- An accounting or ERP system.
- Previous experience (up to 2 years) in Accounts Receivable, debtors, finance administration, or a similar environment.
- Basic exposure to customer invoicing, payment allocations, or collections.
Key Responsibilities
- Customer Accounts Receivable Management:
- Assist with accurately allocating customer payments and credit notes according to remittance advice.
- Support the matching of customer payments to invoices and ensure correct reflection in Acumatica.
- Help identify unallocated cash, payment discrepancies, and allocation queries for resolution.
- Assist in identifying and recording Withholding Tax amounts against relevant customer transactions.
- Support the maintenance of accurate Accounts Receivable balances and monthly reconciliation activities.
- Customer Collections:
- Assist with collecting and following up on outstanding customer invoices based on payment terms and debtor ageing.
- Communicate professionally with customers via email and telephone regarding outstanding payments.
- Follow up on overdue invoices and provide supporting documents to customers as needed.
- Escalate overdue accounts, payment disputes, and collection risks to the relevant Finance team member.
- Customer Collections and Withholding Tax Certificates:
- Assist with collecting Withholding Tax Certificates from customers within required timeframes.
- Maintain records of received and outstanding certificates, following up with customers as necessary.
- Help ensure received certificates align with relevant transactions for audit and compliance.
- Customer Information Management:
- Assist with maintaining accurate customer contact, billing, and account information within Acumatica.
- Support the maintenance of customer documentation required for invoicing, collections, and financial administration.
- Assist with finance-related customer onboarding, including billing information and payment terms.
- Maintain organised electronic records for easy retrieval during reviews and audits.
- Debtor Follow Up Updates:
- Update the debtor collection report with accurate comments after customer interactions.
- Record payment commitments, disputes, outstanding information, and agreed follow-up dates promptly.
- Maintain clear notes to ensure visibility of customer account activity and traceability of collection actions.
What the Work Involves
As an Accounts Receivable Intern, you will be deeply involved in the day-to-day financial operations that keep Sybrin running smoothly. You'll spend your time ensuring customer payments are correctly allocated, managing invoice administration, and actively participating in the collection of outstanding monies. This involves regular communication with customers via email and telephone, addressing queries, and providing necessary documentation.
You will become proficient in using financial systems like Acumatica to manage customer accounts, maintain accurate financial records, and track Withholding Tax certificates. Working directly under the guidance of the Finance team, you'll gain hands-on experience in managing debtor accounts, understanding cash flow processes, and contributing to robust internal controls within a dynamic finance function based in Johannesburg.
