Opportunity Overview

The South African National Roads Agency (SANRAL) invites applications for an ICT Contracts & Projects Administrator position based in Gauteng. This is a permanent employment opportunity to join a vital organisation responsible for South Africa's national road network.

This role provides essential project and contract management coordination, support, and assistance across all phases of projects. The successful candidate will work under the direct supervision of Project and Contract Managers, ensuring smooth operations and efficient administration of ICT projects and contracts.

Responsibilities include assisting with contract administration, communications, vendor support, issue tracking, preparing status reports, and facilitating meetings. The position requires an agile and versatile approach to support multiple projects and contracts concurrently.

Minimum Requirements

  • NQF level 6 qualification in Project Management, Business Administration, or a related field.
  • 3 years of experience in Project and and/or Programme Management Administration.

Key Responsibilities

  • Provide project administration support for assigned projects.
  • Ensure relevant stakeholders are supported by independently carrying out operational tasks.
  • Liaise and collaborate with stakeholders to track and escalate activities, issues, risks, and dependencies.
  • Assist stakeholders with project change management aspects for project implementations.
  • Create and update project reporting and communication, maintaining accurate and timely information for executive decisions.
  • Manage workspace, project personnel requirements, and project management tool access for all project resources.
  • Provide support for project financial management and resource management.
  • Assist with portfolio management decisions by supporting the creation of project charters, scopes, risk assessments, and budgets.
  • Perform general project administration tasks, including setting up meetings, agendas, and minutes.
  • Provide projects with procurement support, from tender registration to procurement submissions during tender awards.
  • Handle all tender queries from procurement and tender participants.
  • Manage all invoicing processes involving service providers and finance.
  • Coordinate activities to enable relevant stakeholders to complete vendor and resource management.
  • Manage contract change control, including revisions, modifications, and task orders.
  • Work with project managers to manage contract issues and disputes.
  • Work with project managers to escalate non-compliance activity and performance issues.
  • Support project managers with the contract management of outsourced service providers.
  • Administer all documentation and maintain the project management tool (e.g., user set-up, creating group pages).
  • Set up and manage the Project Office document repository, establishing a centralised storage and access system across all projects.
  • Develop, structure, and maintain project information, making it available to the overall project office.
  • Monitor and manage user compliance with the defined document repository structure.
  • Perform training for all new users of the document repository.
