Minimum Requirements

To be considered for this position, applicants must meet the following criteria:

  • Education: A National Diploma or Diploma (NQF Level 6) in Office Administration, Office Management, or a related field.
  • Work Experience:
  • 3 years of relevant work experience in Executive Administration.
  • A proven track record in executing administrative functions at a group executive or executive level.
  • Demonstrated experience in report writing and presentation formatting.
  • An understanding of invoicing, requisition ordering, and basic procurement protocols.

Key Responsibilities

The Executive Assistant will be responsible for a range of duties, including:

  • Developing, maintaining, and updating the CEO’s annual meetings planner.
  • Overseeing and coordinating the CEO’s meetings, ensuring all logistics, minutes, agendas, and relevant materials are provided.
  • Managing administrative tasks such as receiving and flagging telephone calls, correspondence, and emails.
  • Coordinating the CEO’s travel program, itineraries, and associated logistics.
  • Managing and coordinating the CEO’s task list portfolio in conjunction with the CEO.
  • Treating all information and documentation as private and confidential, only disclosing with the CEO’s explicit approval.
  • Reconciling the CEO’s expenses, preparing reports, and submitting them to Finance for processing.
  • Preparing non-routine and routine correspondence, and proofreading relevant documents before circulation.
  • Conducting research and collating data for special reports on behalf of the CEO.
  • Providing input and formulating business presentations in consultation with the CEO.
  • Collating and integrating information related to special internal projects and their progress.
  • Performing special projects as directed by the CEO, including review, research, summarization, and analysis of information.
  • Attending key meetings with the CEO to ensure follow-up and execution on identified actions.
  • Working with the CEO to strategize and manage a portfolio of relationships.
  • Assisting with the compilation of strategic documents for the CEO.
  • Overseeing and improving the electronic filing system to ensure an adequate information management system is in place.
  • Maintaining the filing and record management system and other office flow procedures for easy retrieval of records.
  • Ensuring that all documents are filed, managed, and updated appropriately.
