Opportunity Overview

The Public Service Sector Education and Training Authority (PSETA) is seeking a qualified Administrator for ETQA Learner Achievements. This is a fixed-term position until 31 March 2030, based in PSETA Offices in Hillcrest, Pretoria.

This role provides essential administrative support within the ETQA Learner Achievements and Assessor and Moderator unit, contributing to the efficient operation of learner certification and the registration of assessors and moderators.

Minimum Requirements

  • Suitably qualified for the Administrator ETQA Learner Achievements role.

Key Responsibilities

  • Provide administrative support, acting as the first point of contact for departmental enquiries.
  • Receive, record, distribute, and track correspondence related to learner achievements and assessor/moderator registrations.
  • Organise and store paperwork and computer-based information.
  • Receive and acknowledge external moderation requests, schedule dates, and communicate with stakeholders.
  • File reports and communicate approved external moderation reports.
  • Print learner certificates in line with PSETA policy, make copies, and update/maintain certificate registers.
  • Receive and acknowledge assessor and moderator applications, updating relevant databases.
  • Provide support and guidance to stakeholders on the system and ETQA issues.
  • Create and update applicant files, conduct pre-evaluations, and submit complying applications.
  • Capture approved applicants on the PSETA system and generate registration letters.
  • Schedule and attend meetings, take minutes, and distribute them to stakeholders.
  • Organise staff travel and accommodation.
  • Retrieve data for various reports and submit to the Specialist.
  • Provide administrative and project support, including coordinating travel and logistics for workshops.
  • Maintain a sound recordkeeping system.
  • Operate within controls and procedures to ensure PSETA integrity and report risks.
  • Ensure compliance with regulations to prevent irregular expenditure.
  • Promote effective and transparent use of resources and control expenditure within budget.
  • Maintain effective working relationships with internal and external customers.
  • Identify and solve problems, providing advisory support to stakeholders.

What the Work Involves

The Administrator ETQA Learner Achievements will be based in the PSETA Offices in Hillcrest, Pretoria. This role involves extensive office-based administrative tasks, including handling a significant volume of incoming and outgoing correspondence, managing physical and digital records, and maintaining various registers and databases related to learner achievements and assessor/moderator applications.

You will be responsible for the logistical coordination of meetings, external moderation requests, and staff travel. The work requires regular interaction with internal and external stakeholders, providing guidance and support on ETQA-related matters. You will report to a Specialist and contribute to ensuring compliance, controlling costs, and maintaining high standards of customer service within the unit.
