The Public Service Sector Education and Training Authority (PSETA) invites applications for a suitably qualified and experienced Personal Assistant to the Chief Operations Officer. This is a fixed-term position, with employment until 31 March 2030, offering a salary of R524,540.58 per annum plus benefits. The successful candidate will be based at the PSETA Offices in Hillcrest, Pretoria.

This role provides strategic administrative and executive support to the Chief Operating Officer (COO). Key functions include coordinating operational activities, managing high-level stakeholder engagement, consolidating reports, and ensuring the effective day-to-day functioning of the COO’s office.

Minimum Requirements

To be considered for this position, applicants must meet the following criteria:

  • A minimum certificate in Office or Business Administration or a related field (NQF Level 5).
  • A minimum of 3 years' experience as a Personal Assistant, Executive Assistant, or in an administrative role.
  • A valid Driver's Licence (Code B).
  • Proficiency in MS Office.
  • Experience in report writing and consolidation.
  • Proven ability in stakeholder management at an executive level.
  • Demonstrated confidentiality and discretion.
  • Strong time management skills.
  • Ability to work effectively in a team.
  • Good interpersonal relations and skills.
  • Sound decision-making abilities.
  • Creativity/Innovation.
  • Conflict management skills.
  • Adaptability/Flexibility.
  • An understanding of public sector governance will be an advantage.

Key Responsibilities

The Personal Assistant to the Chief Operations Officer will undertake a range of duties, including:

  • Organising, coordinating, and taking minutes for internal and external meetings, workshops, and conferences for the COO, producing comprehensive reports, and following up on resolutions.
  • Managing the COO’s diary and travel arrangements.
  • Assisting in all administrative matters to ensure the efficient and smooth running of the COO’s office.
  • Conducting research for the COO as and when required.
  • Consolidating monthly and quarterly reports.
  • Supporting procurement processes through coordination and documentation in line with organisational policies.
  • Typing correspondence and composing routine letters, reports, and other confidential documentation.
  • Maintaining effective document management and record-keeping systems.
  • Ordering stationery and consumables.
  • Maintaining effective working relationships with both internal and external customers to deliver high-quality services.
  • Serving as a key liaison between the Office of the COO and internal and external stakeholders.
  • Answering general information requests from personnel where possible.
  • Exercising initiatives to enhance the administration of the COO’s office.
  • Ensuring the efficient administration of the COO’s office and proactively identifying process improvements.
