Opportunity Overview
The Judicial Inspectorate for Correctional Services (JICS) is offering an exciting entry-level government position for unemployed youth. This opportunity is for a Data Capturer within the Complaints and Mandatory Reporting Units.
The successful candidate will play a crucial role in managing vital information by providing data capturing and records management services. This ensures the accuracy, integrity, and availability of oversight information for the organisation.
Minimum Requirements
To be considered for this position, applicants must meet the following criteria:
- Possess a Grade 12 (Senior Certificate).
- Have 1 to 2 years of experience in data capturing, administration, records management, or an information management environment.
- Knowledge of records management principles, information management practices, data capturing procedures, Microsoft Excel, Microsoft Word, electronic document management systems, the Protection of Personal Information Act (POPIA), and Public Service administrative procedures.
- Skills in computer literacy, data capturing, accuracy, attention to detail, record keeping, report writing, communication, planning and organising, confidentiality, client orientation, problem-solving, and the ability to work under pressure, independently, and as part of a team.
Advantageous:
- A Certificate in Office Administration, Information Management, Public Administration, Records Management, Computer Studies, or Data Management.
- Experience in case management systems, complaints management systems, statistical reporting, database administration, public sector administration, and legal, correctional services, or oversight environments.
Key Responsibilities
The Data Capturer will be responsible for a range of tasks including:
- Capturing, updating, verifying, and maintaining complaint and incident information on approved databases and systems.
- Generating statistical reports and assisting with trend analysis.
- Ensuring the accuracy, integrity, and availability of oversight information.
- Identifying incomplete information, detecting and correcting data errors, and verifying captured information against source documents.
- Monitoring data quality standards and ensuring consistency of information across systems.
- Maintaining electronic and physical records, filing complaint and incident reports, and tracking document movement.
- Maintaining registers and ensuring the safekeeping of confidential information.
- Compiling data for management reports and supporting reporting for quarterly and annual reviews.
- Supporting Senior Case Officers with data retrieval, preparing information for investigations, and monitoring outstanding records.
- Assisting in updating case status information and providing administrative support to the Complaints and Mandatory Reporting Units.
- Maintaining complaint and mandatory reporting databases, monitoring completeness of electronic records, and assisting users with information retrieval.
- Reporting system defects or data discrepancies.
