Minimum Requirements

  • National Diploma (NQF 6) in Public Administration or a relevant qualification in a related field as recognised by SAQA.
  • A minimum of three (3) years of experience in Administration or a relevant field.
  • Knowledge of Strategic coordination/planning, Business planning, Report/professional writing, and Business process management.
  • Knowledge of Risk management and Audit procedures.
  • Demonstrated Organising, Facilitation, Communication (Verbal and Written) skills.
  • Computer literacy.
  • Ability to communicate professionally with ministries, senior management, officials, and the public.
  • Ability to work both individually and as part of a team.
  • Good interpersonal relations.
  • Ability to work with difficult persons and to resolve conflict.
  • Knowledge of Public Service and Departmental procedures and prescripts.
  • Service-orientated approach.
  • Ability for self-supervision and to protect the confidentiality of documents.
  • A highly developed sense of honesty.
  • Shortlisted candidates will undertake two pre-entry assessments: a practical exercise to determine suitability for technical and generic requirements, and an integrity (ethical conduct) assessment.

Key Responsibilities

  • Provide strategic planning and reporting support.
  • Offer document management support, including the preparation of document packs, filing, and recording.
  • Deliver general administration support services.
  • Coordinate branch meetings, manage administrative issues, and follow up on actions.
  • Ensure the coordination, consolidation, and implementation of actions resulting from Executive Management meetings.
  • Liaise with internal and external stakeholders.
  • Provide support for the coordination of parliamentary questions, queries, referrals, and stakeholder engagements.
  • Receive all Cabinet documents.
  • Coordinate the processing of all logistical documentation for the Chief Financial Officer’s office, such as travel requests, S&T, cellphone claims, and 3G.
  • Provide administration support related to budget, expenditure, and procurement.
  • Assist in ensuring compliance with document management protocols in the Chief Financial Officer’s office.
  • Support the coordination and consolidation of branch inputs into strategic plans, business plans, and Annual Performance Plans (APPs).
  • Aid in the coordination and consolidation of monthly, quarterly, bi-annual, and annual oversight reports.
