The Department of Basic Education is seeking a dedicated Senior Administration Clerk to join its Finance and Administration Branch in Pretoria. This role is specifically placed within the Chief Directorate of Financial Management, under the Directorate of Security and Asset Management.

Minimum Requirements

  • Proficiency in computer literacy, including MS Word, MS Excel, MS PowerPoint, and MS Outlook.
  • Ability to think clearly and concisely, maintain good telephone etiquette, and work independently.
  • Capable of working effectively under pressure, multi-tasking, and managing a high workload.
  • Experience in general office management and a willingness to learn quickly.
  • A high level of accuracy and adaptability.

Key Responsibilities

The Senior Administration Clerk will be responsible for a range of duties, including:

  • Assisting with the ongoing maintenance of asset registers.
  • Executing asset verification processes to confirm the completeness and existence of all departmental assets.
  • Facilitating the disposal and movement of departmental assets both within and outside the Department.
  • Receiving and updating asset records upon the delivery of newly acquired assets.
  • Assisting in the preparation of monthly reconciliation reports between the BAS and HARD/CAT systems.
  • Supporting the preparation of asset notes for both interim and annual financial statements.
  • Assisting with the resolution of queries from internal and external auditors.

What the Work Involves

As a Senior Administration Clerk within Basic Education's Finance and Administration branch in Pretoria, you will be involved in the day-to-day management and tracking of the department's assets. This includes meticulous record-keeping, ensuring that all assets are accounted for and that their details are accurately reflected in the asset registers. You will process new asset acquisitions, facilitate the movement of assets, and assist in the disposal of old ones.

Your work will also involve critical financial support tasks, such as assisting with monthly reconciliation reports using financial systems like BAS and HARD/CAT, and contributing to the preparation of financial statements. You will regularly interact with financial data and documentation, reporting to senior staff within the Security and Asset Management Directorate, and will play a role in addressing audit queries from both internal and external auditors in an office environment.
